The maximum number of ensemble members is 30 people, including support staff. The host provides accommodation and 3 meals a day for each member of the ensemble, starting at lunch on the 11th. August and ending with breakfast on the 15th. August. Accommodation is organized in a hostel, i.e. To the student dormitory ( ), and all participants should send a list of the names of the ensemble members and all special requests related to food no later than January 1. August. Participants must arrive in Sremska Mitrovica no later than noon on the 11th. August, and to leave the accommodation facility by noon on the 15th. August.

The visiting ensembles cover their own travel expenses to Sremska Mitrovica and back. The host will cover the transfer costs from/to the Belgrade airport as well as all necessary transfers in case the group arrives by plane.

During the festival days, the ensembles usually visit for one evening in Obrenovac or Bečej (distance about 90 km), where folklore festivals are also held during the “Srem Folk Fest” and with which cooperation has been established. In that case, the organizer covers the travel costs (30 liters of diesel per 100 km) or organizes the entire trip in case the ensemble arrives by plane.

It is necessary for the ensemble to prepare a program lasting 10 of 30 minutes.

All members of the ensemble should take out travel-health (medical) insurance in their country, because any possible medical expenses will be borne by the members of the ensemble. The organizers will provide medical assistance for the participants during the duration of the Festival in case of emergency (first aid).

During the festival days, an official reception will be held with the mayor in the City Hall. Guests will also be given a short tour of the city to get to know its rich history.

It is necessary that each ensemble carries the flag of its country. Also, the tradition of the Festival is for the participants to bring souvenirs and gifts that they will exchange with the mayor during the visit to the City Hall, as well as with the representative of the Festival organizer on stage, after the Festival performance.
